事务书信的格式和写作要求

事务书信是指涉及各种事务问题,联系商洽工作的信件。这种书信的格式和写作要求比较严格,要特别慎重对待。

1.事务书信的格式

事务书信通常由下面七部分组成:信头、收信人名称地址、称呼、正文、结尾套语、签字及其他。另外,有的事务书信还有下列项目:投递说明、收件人或注意事项、事由、备查、抄送说明。

2.事务书信的写作要求

信头:

信头位于信纸的中上方,印有包括公司名称、地址、电话号码、传真号、电报挂号,以及公司负责人的姓名等。信头的设计要美观、简洁。

如临时打印信头,则寄信人的名称和地址,应打在信纸的右上角,位于日期上面。正式函件只在第一页信纸印上或打上信头,其他续页可用空白信纸,只需写上页码、收信人名称及日期即可。

日期:

事务书信的日期不可漏写。日期应打在信头下四至六行的右方,或在寄信人地址的下方。月份最好不要使用略字,也不可用数字来代表,必须完整地写出来。有两种写法:英式为19(th)april,1995;美式april 19,1995。英式写法日在先,月在后,而美式则相反。如全部使用数字表示日期,容易引起误解,应避免使用。

收信人名称及地址:

信内名称地址仍应重写一次,并与信封上的收信人名称地址一样。通常打在信纸的左边,低于日期二三行,也有打在信末端左边,在签名下约二至四行处。

收信人的单位名称如何排列,应严格按收信人所定的方式,出于礼貌和准确性,切勿擅自更改。

敬语的用法及略写也有一定习惯。比如,mr.

(mister)冠于男子姓氏前。messrs.(messiears)是英语 mr.的复数,相当于gentlemen,不含人名而冠以定冠词the的.公司名称,均不用messrs.在英国,如公司行号含人名时,多用messrs.。例如:messrs. lake kane& co.,ltd;mrs.为已婚女子,则在后面写其夫姓,mrs. judd;miss为未婚女子,其复数为misses;dr.(doctor)冠于博士姓名前;rev(reverend)用于神职人员姓名前,可加定冠词the。另外还有某地长、内阁部长、议员、大使、法官姓名前用hon.,总统、总经理、会长、大学校长的姓名前用pres,教授姓名前用prof.

信内地址写法,英美格式差别较大。美式写法:门牌号前没有no.字样,后面也没有逗点。而英式写法则相反。如:

称谓:

事务书信中的称谓应是礼貌称呼。公文中常用较正式的礼貌称呼:sirs。公司行号等商业书信多用dear sirs,英国人在其后还要加上逗号;美国人多数用gentleman称呼公司行号,但仅限于复数,在其后用冒号,gentleman和dear gentleman根本不用。当收信人只有职称而无姓名时,不能单独用单数sir,而要在sir前面加上dear,即dear sir。也可写上姓,如“dear sir lewes:”。

正文:

正文就是信的内容、主体。正文在称谓下两行开始,顶端书写(不像中文信要空两格);段落之间空双行。正文的文字不要太长,尤其是头尾两段,一定要简短一些。正文在打字时,普通纸占用信纸的四分之三位置,两边及信纸上方要留有适当的边缘,下方的空白要更大。左边边缘垂直整齐,右边则尽可能整齐。

信封的写法

(1)收信人地址:英美人多用长信封,收信人姓名、地址写在正面右下1/4处如:

第一行写姓名;

第二行写门牌号、街名;

第三行写城市、州、邮区号码,(国名)。

2)若信封为方形,收信人姓名地址可写在中间,各行可在左边起头写,也可以在下一行向右移一个字母.例如:

寄信人不自称Mr.、Mrs.或Miss,但是在收信人的姓名前则必须加上尊称Mr.、Mrs.或Miss以示礼貌。

住址的写法与中文相反;英文住址原则上是由小至大,如必须先写门牌号码、街路名称,再写城市、省(州)和邮政区号,最后一行则写上国家的名称。

在信封的右上角贴上邮票。

信封上的邮政区号(zip code),在美国州名之后以五位数阿拉伯数字表示,前三位数代表州或都市,后两位数表示邮区,至于邮政区号10027的念法是one double o two seven。

住址中常用字:有简写的多用简写: 楼 F(e.g.2F)巷 Lane(e.g.Lane 194)段 Section;Sec.(e.g.Sec.Ⅱ)弄 Alley(e.g.Alley 6)路 Road;Rd.(e.g.Chunghua Rd.)街 Street;St.(e.g.Yangkwang St.)Clinton,Ohio 020567

中国人的姓名、地名一律用汉语拼音,姓和名分开写,姓和名开头一个字母大写,名是两个字以上的拼写为一词,只有头一个字母大写,地名也如此。

(2)回邮地址:私人信件回邮地址可写在信封正面左上角,也可写在信封背面正中。业务信件,一般在正面左上角或上面都印有回邮地址。

(3)信封正面左下角可写Personal,Please Forward,Registered,Express,Airmail,General Delivery等。

发信人的地址应写在信封的左上角,收信人的地址应写在信封偏中右偏下处。左上角写寄件人信封中间部分写收件人。

2.书信各部分格式

①信头

包括地址,电话号码,电子函件号码,电传号码,电报号码等以及发信日期.位置在信纸的右上角,可以从靠近信纸的中央写起.先写发信人地址,后写日期.地址按由小到大的规则.日期即可月,日,年,又可日,月,年.

②信内地址

即收信人的姓名,职务,地址.按英,美习惯,凡属公务商洽或商业往来的信件,都必须有此内容.而写给亲友,熟人的信件则可省.它位于信纸左侧低于信头一二行处.顶格写,其顺序可先写职位姓名,再写地址.

③称 呼

即收信人的称呼.写于信内地址下一二行处.在左侧顶格写.最常用的称呼有:Dear+姓名,或Dear Mr. / Mrs. / Miss+姓.

④信的正文

即信的内容.位于收信人称呼下方,隔两行.在左称呼对齐处后移3—5个字母处开头.另起段时与第一行对齐.但第一段亦可顶格,而以下各段则要留空格.一封好的英文书信的标准是:内容清楚,语言简练,谦虚礼貌.

⑤结束语

写信人对收信人的谦称即客套语.结束语在正文下两三行的位置.大都从信纸中间写起.第一个字母要大写,末尾用逗号.在非正式的社交信中常用Yours sincerely.若收信人是亲密朋友,可用Yours, Yours truly, Sincerely等.

⑥签 名

即写信人署名.位置在结束语下面,偏向右下角.

⑦附 件

如果书信还有附件,应在签名下方左下角注明Encl.或Enc.: Invoices 4(附发票四张),Encl.: Name- list of students (附学生名单一份).

⑧再 启

补叙遗漏的话.常以P. S缩写形式出现.写于信笺的左下角.比较正式的信件最好少用或不用.

⑨信 封

信封左上角写发信人姓名和地址.收信人姓名,地址要居信封中央(或稍右),上边比下边多空些.每行末尾最好不用标点.要注意与信纸里的地址写法一致.

事务信函概述

不同的事务信函要达到的目的各不相同,例如求职信、拒聘信、

询问信、投诉信等等。事务信函书写的好坏关系到事务洽谈的成败。因此,写事务信函时,要具有高超的驾驭语言的.能力,按固定格式写。

事务信函的格式由八个部分构成:

发信人公司名称和地址(信头);收信人公司名称和地址(信内地址);称呼;信体;结束语;落款;发文编号;附言.

● 信头包括发信人所在单位的名称、地址、邮政编码、电话、电传、电子邮件信箱及发信日期,写在信纸的右上方。

● 信内地址包括收信人所在单位的名称或收信人的地址,必须同左边的空白处取齐,与信头间隔二行至四行的距离为佳。

● 书信开头客气称呼的方式取决于写信人与收信人之间的关系。规范的称呼通常是:Dear Sir, Dear Madam, Dear Mr. Smith, Dear Miss Green, Dear Mrs. Brown, Dear Ms. Jane,Gentlemen。

● 信的主体可由一段或多段组成,全从左边空白处写起或缩行二个字母至四个字母的距离。

● 常用的书信结尾有:Yours truly, Yours sincerely, Yours cordially, Yours respectfully。

本部分要求考生在规定时间内,按照题目所规定的内容要点,写出100字左右的书信。(80—120都是正常范围)。不要求考生写信头,信内地址以及写信时间,只从称呼开始,然后根据题目要求写出正文、结尾客套,签名统一用“李明”这个名字。

称呼是书信的开头部分,一定用dear打头。主义头衔的使用,通常对于那行,可用Mr.,学术界用Dr.和Prof.(介绍信、请求信),称呼女性多用Mrs., Ms.或Miss.Ms.可称未婚女性,也可称已婚女性。Hon.(Honorable)、用于市长、议员、大使、法官等的姓名前。Press.(President)用于称呼董事长、总经理、(求职信)会长、大学校长(请求信:环境、食堂)等。Rev.(Reverend)称呼牧师。如果不知道对方的姓名,可称呼Dear Sir或者Dear Madam, 也可用To Whom It May Concern。另外,英语书信的称呼于汉语书信不同,称呼后不用冒号,而用逗号。
